Team administrative support

  • Support the team for daily admin works such as meeting room, car, stationary, name card, flight, hotel bookings, etc.
  • Organize weekly team meeting, collect and prepare the necessary document and facility for weekly meeting.
  • Collect and update team members’ CVs both in English and Chinese.
  • Prepare monthly revenue booking, sending out payment application to client and collect back confirmation. Booking monthly revenue for each project into PeopleSoft, and uploading supporting document.
  • Issue invoice and courier Fapiao. Monitor the payment collection, push project managers to collect back payments.
  • Collect and check the expense claim report every month, ensure all the invoices are in line with the company Finance Policy.
  • Prepare the Revenue Fee Forecast Sheet, keep it updated when the new projects signed and new revenue booked.
  • Help directors for bidding documents preparing, bidding, etc.

Operations related support

  • Corporate with project managers and directors for OVal input and updating, prepare OVal audit every month.
  • Collect Project Risk Register Sheet from project managers, input the updated ones in system every month.
  • Facilitate on operations related trainings

Cooperate To Implementation Of Other Supporting Function

  • Corporate with Finance department and IT to keep department asset record updated.
  • HR related works, such as staff on board process, leave balance management
  • Organize team building/lunch or dinner.
  • Cooperate with marketing dept. for company/department client event organization.
  • Cooperate with Admin department to keep office environment clean, help project managers to outsource the huge documents.
  • Other tasks assigned by team leader/team members.
